A report cannot be generated when the selected reporting date range exceeds the organization’s configured data retention period.
This commonly occurs when using preset date ranges (for example, Last quarter or Rolling 6 months) that extend even one day beyond the available retained data.
Why this happens
Each organization has a telematics data retention period that defines how long historical data is stored and available for reporting.
To prevent reports from requesting data that no longer exists:
- The system limits available preset date ranges based on the configured retention period.
- Only valid date ranges that fully fall within the retention period can be selected.
- Any date range that extends beyond the retention period, even by one day, is considered invalid.
What you will see
If an invalid date range is selected when creating a report, you will be notified that “The selected date range extends beyond the retention period of the organization and is invalid. Please select a valid date range.”
- The Next button is disabled.
- The report cannot be progressed or run.
How to Fix the Issue
- Open the Report Wizard
- Review the selected date range
- Choose one of the following:
- A valid preset date range, or
- A custom date range using the date picker that fits fully within the retention period
- Confirm that the Next button becomes enabled.
- Continue creating the report.
Important Notes
- Existing report subscriptions may be removed or disabled if they cover a period beyond the retention period.
- Reports subscriptions that use a monthly preset (for example, Monthly Fuel Reports) are not affected by this workflow.
